Involving OCS in the early stages of project negotiation is a requirement of QUT. Early involvement by OCS will help to ensure appropriate project development and a smooth transition through project approval. Involving OCS enables review of contract clauses and early detection of clauses that fall outside of QUT's insurance and indemnity provisions. QUT's Outside Work Policy requires staff to seek OCS review of the Outside Work prior to entering into a contract.

The Project Development Process

The steps below should be followed to give a good outcome:

  1. Conduct preliminary discussions with the external client and Business Manager before discussing contractual arrangements or terms.
  2. Check to see if this is a project that should be reviewed by OCS and what category of work it falls under.
  3. Contact the designated OCS Business Manager to discuss the project.
  4. Determine if the project is University Outside Work or Private Outside Work as described in the MOPP D7.1. You can use the Outside Work Flowchart to help with this step.
  5. Obtain approval to do Outside Work.
  6. Price the project using the Budget Calculator spreadsheet and Project Resource & Budget Checklist .
  7. Use the Project Flowchart to identify the forms and approvals required for your project. After you have completed them make sure they are correctly authorised.
